The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details)
- As an organisation using the Access NI to help assess the suitability of applicants for positions of trust, Rose NI Ltd complies fully with the codes of practice regarding the correct handling, use, storage, retention of disclosure information. For this purpose we collect the necessary information to conduct these checks such as; names, email, addresses, date of birth and national insurance number.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- You are interested in our services and how we can help you.
- You are interested in employment with us.
- You are seeking advice on how to get access to services and who else to contact.
We use the information that you have given us in order to:
- Provide you with a service
- Provide you with employment
- Provide you with the relevant advice you had been interested in getting.
We may share this information with Ekstra Accounting Solutions (Janet Jenson) in order to process personal information and use for payroll purposes. We may also discuss your personal circumstances with your social worker, care manager and or carer/family member who play a role in supporting and caring for you.

How we store your personal information
Your information is securely stored electronically and kept securely at 33 Ashcroft Close, Lower Ballinderry, Lisburn, BT28 2AZ.
We keep names, email addresses, telephone numbers and addresses of clients for as long as we provide a service to them. We may also retain personal information thereafter for up to six months after services cease based on circumstances on which they have ended.
We also keep names, addresses, DOB, email address and telephone numbers of employees for the length of time the employee is employed with Rose NI LTd. We may also retain personal information thereafter for up to six months after services cease based on circumstances on which they have ended employment.
We will then dispose your information six months after services and employments ends. This information will be disposed of in a secure manner for example; by shredding, pulping or burning.
With electronic storage, information will be deleted within our organisation’s systems, “personal data processed for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes” (ICO; 2021).
